Position Overview

As a Customer Success Representative at arenaflex, you will play a critical role in maintaining and enhancing our reputation for excellence in customer service. You will be responsible for providing world-class support that exceeds our customers' expectations while contributing to the continued growth of our business. This position requires a unique blend of order management expertise, technical product knowledge, and relationship-building skills.

You will take personal ownership of every customer interaction, ensuring that their requirements are met from the moment an order is received until the product is delivered, invoiced, and the customer is fully satisfied. Your ability to multitask, think proactively, and collaborate with cross-functional teams will be essential to your success in this role.

Key Responsibilities

Your primary accountabilities as a Customer Success Representative will include:


Customer Communication: Serve as the main point of contact for customers via phone, email, fax, and in-person interactions. Address inquiries regarding order and delivery status, stock availability, change orders, and service issues with professionalism and timeliness.
Problem Resolution: Review and escalate problems or issues to appropriate departments while actively participating in finding suitable resolutions. Ensure that each customer concern is addressed comprehensively and satisfactory.
Order Processing: Process EDI orders as well as emailed, faxed, phoned, and written sales orders with meticulous attention to detail and accuracy.
Shipping Coordination: Manage daily load shipments and LTL (Less-Than-Truckload) orders while coordinating effectively with the shipping department to ensure timely delivery.
Returns Management: Process Return Authorizations (RMAs) in accordance with company policies, ensuring smooth and efficient handling of customer returns.
Data Entry & Documentation: Process daily receiving tasks, archive Proof of Delivery (POD) paperwork, and maintain accurate data entry in our systems.
Product Expertise: Become an expert on arenaflex's product lines to provide knowledgeable product recommendations and technical advice to customers.
Proactive Outreach: Make proactive outside phone calls to prospective customers to generate new business opportunities and expand our customer base.
Relationship Building: Cultivate strong, trusting relationships with customers to encourage loyalty and repeat business.
Needs Assessment: Work closely with customers to better understand their needs, goals, and challenges to provide tailored solutions.
Sales Achievement: Set and meet sales goals and objectives established by leadership, contributing to the overall success of the organization.
Sales Support: Provide comprehensive support to the outside sales team, assisting with customer inquiries, order management, and problem resolution.
Territory Manager Collaboration: Assist customers and Territory Sales Managers with any inquiries or problems concerning orders, providing prompt and efficient responses and resolutions.
Customer Satisfaction: Ensure that customers are completely satisfied with products or services, following up to confirm resolution and gather feedback.
Technical Troubleshooting: Troubleshoot common issues with products or services, providing knowledgeable guidance and solutions.
Cross-Functional Collaboration: Work collaboratively with a team of Customer Service Representatives and other departments to find appropriate solutions to complex customer needs.
Department Liaison: Coordinate customers' needs with other departments, including special orders, shipping, and production instructions, to ensure all requirements are met.
Internal Communication: Act as a liaison between departments internally to provide information in response to customer inquiries.
Additional Duties: Perform other duties as assigned to support team goals and organizational success.


Essential Qualifications

To be considered for this role, you must meet the following requirements:


High School diploma or GED required
Bachelor's degree preferred, or equivalent combination of education and experience
Minimum of 3 years of experience in a similar customer service or inside sales role
Excellent communication skills, both verbal and written, with the ability to interact professionally with customers and colleagues
Proficient problem-solving abilities with the capacity to handle multiple tasks simultaneously in a fast-paced environment
Proven team player who thrives in a collaborative team environment
Demonstrated desire to learn, grow, and develop professionally
Ability to promote teamwork among peers and foster positive working relationships
Capability to manage high volumes of calls and emails daily while maintaining quality and professionalism
Proficient in Microsoft programs, including Excel, Word, and Office
Experience with SAP or an equivalent ERP (Enterprise Resource Planning) system


Preferred Qualifications

While not required, the following qualifications will strengthen your application:


Previous experience in a manufacturing or industrial customer service environment
Familiarity with EDI (Electronic Data Interchange) processing
Knowledge of LTL (Less-Than-Truckload) shipping and logistics
Understanding of agricultural technology, renewable energy, or infrastructure markets
CRM software experience
Bilingual capabilities
