Key Responsibilities: The Heart of Administrative Support at blithequark Optimize Office Procedures: Organize the office environment and assist associates to streamline processes and enhance productivity. Efficient Communication Management: Sort and distribute communications in a timely and effective manner, ensuring that all stakeholders are informed and up-to-date. Record Keeping and Accuracy: Create and update records with precision, ensuring the accuracy and validity of information across the organization. Meeting and Appointment Coordination: Schedule and plan meetings and appointments, managing calendars and ensuring smooth day-to-day operations. Supply Management: Monitor supply levels, handle shortages, and maintain an organized inventory system. Troubleshooting and Issue Resolution: Respond to office-related malfunctions and requests or issues, providing timely and effective solutions. Interdepartmental Coordination: Work closely with other departments to ensure compliance with established policies and procedures. Relationship Building: Foster and maintain trusting relationships with suppliers, customers, and colleagues through excellent communication and interpersonal skills. Receptionist Duties: Perform receptionist duties as needed, providing a welcoming and professional front-of-house experience. Essential and Preferred Qualifications: The Ideal Candidate Profile To excel in this role, you'll need: Proven Administrative Experience: A background as a back-office assistant, office assistant, or in another relevant administrative role, with a track record of success. Technical Skills: Knowledge of back-office computer systems, office equipment, and software applications, including MS Office, QuickBooks, and Excel.
