Position Overview

As a Customer Service & Dispatch Coordinator at arenaflex, you will serve as the vital link between our customers and our field service teams. This position requires a unique blend of organizational excellence, communication prowess, and the ability to remain calm and effective under pressure. You will be responsible for coordinating the scheduling and dispatching of service calls while simultaneously providing exceptional customer support through various channels including phone, email, and in-person interactions.

Key Responsibilities

Dispatching & Scheduling

Schedule and dispatch service technicians, drivers, or field staff based on customer needs, technician availability, and geographic efficiency
Monitor real-time field staff locations and job statuses using dispatch software to optimize route efficiency and minimize response times
Communicate job details, specific instructions, and timely updates to field personnel through multiple communication channels
Proactively adjust schedules as needed to accommodate cancellations, delays, emergencies, or priority service requests
Coordinate same-day service requests and ensure optimal coverage across all territories
Maintain detailed logs of all dispatch activities, route changes, and service adjustments for operational records


Customer Service Excellence

Answer incoming calls and emails from customers regarding service requests, general inquiries, billing questions, or service-related issues
Provide accurate, comprehensive information about services, scheduling procedures, and follow-up processes
Handle customer complaints or concerns with professionalism, empathy, and effective de-escalation techniques
Build and maintain positive relationships with customers by delivering consistent, high-quality service experiences
Document all customer interactions in CRM or dispatch software systems to ensure seamless information flow and follow-up
Proactively reach out to customers to confirm appointments, provide estimated arrival windows, and ensure satisfaction with completed services


Administrative Support

Input, update, and maintain job tickets, customer data, and service records in our management systems
Generate and send service confirmations, invoices, or service reports to customers as required
Collaborate effectively with other departments including sales, billing, operations, and field management to ensure seamless service delivery
Assist with data entry, file organization, and general office support as needed
Participate in team meetings, training sessions, and process improvement initiatives


Essential Qualifications


Education: High school diploma or equivalent required
Experience: Minimum 1+ years of experience in dispatching, customer service, or administrative support roles; industry experience in field services, logistics, or related sectors is a plus
Language Skills: Bilingual proficiency in English and Spanish (both written and verbal) is required
Technical Proficiency: Basic computer skills including proficiency in Microsoft Office applications and comfort learning new software systems
Availability: Ability to work full-time schedule (40 hours per week) with flexibility for occasional overtime as needed

Compensation & Benefits

We offer a competitive hourly wage of $14.00 – $17.00 per hour, commensurate with experience and qualifications.
