Position Overview: Customer Experience Specialist

We are currently seeking a full-time Customer Experience Specialist to support our customer service operations during 2nd and 3rd shift hours. This position is fully remote, allowing you to work from anywhere in the United States while contributing to our mission of delivering unparalleled service to healthcare clients nationwide.

The ideal candidate will demonstrate exceptional interpersonal skills, strong organizational capabilities, and the ability to thrive in a dynamic, fast-paced environment. You will serve as the primary point of contact for our clients, drivers, and internal teams during evening and night hours, ensuring seamless operations and exceptional service delivery.

Work Schedule and Requirements

This position requires flexibility and availability to work our rotating 2nd and 3rd shift schedule. The schedule is set and includes the following rotations:

First and Third Weeks:

Saturday – 3rd shift (10:30 PM – 7:00 AM)
Tuesday – 2nd shift (10:30 AM – 11:00 PM, 12 hours)
Wednesday – 3rd shift (10:30 PM – 7:00 AM)
Friday – 2nd shift (10:30 AM – 11:00 PM, 12 hours)


Second and Fourth Weeks:

Saturday – 2nd shift (2:30 PM – 11:00 PM)
Sunday – 2nd shift (2:30 PM – 11:00 PM)
Tuesday – 3rd shift (10:30 PM – 7:00 AM)
Thursday – 2nd shift (2:30 PM – 11:00 PM)
Friday – 3rd shift (10:30 PM – 7:00 AM)


Additional Requirements:

Must be flexible and willing to work overtime when needed, including coming in early, staying later, or switching schedules for coverage purposes
Must be available to work weekends and holidays
Must be able to work remotely from anywhere in the United States
Initial training period of 2 weeks will be conducted at our Downers Grove, IL location


Key Responsibilities and Duties

As a Customer Experience Specialist at arenaflex, you will play a critical role in maintaining our reputation for excellence. Your primary responsibilities will include:

Customer Service and Communication

Professionally manage all incoming customer service phone calls and respond to customer requests via phone, email, and support software systems
Engage in positive, proactive follow-up communication with both customers and colleagues to ensure seamless service delivery
Demonstrate a "can-do" attitude and customer-first approach in every interaction
Communicate clearly and professionally through written and verbal channels
Adhere to HIPAA regulations in all communications regarding patient information


Service Request Management

Create and dispatch service requests using our web-based OMS (Order Management System)
Identify and resolve customer concerns in a professional and timely manner
Log all communications accurately in the work service request system
Attach Field Service Reports to service requests in OMS
Audit reports from vendors to ensure all calls are properly logged in the system
Escalate service calls and problems to appropriate manager contacts when necessary


Driver Support and Coordination

Serve as the nighttime contact for drivers, providing scheduling and maintenance support
Handle inbound and outbound calls to 20-30 drivers nightly
Proactively monitor on-time pick-ups and deliveries
Coordinate with drivers to ensure seamless service execution


Operational Tasks

Order and cancel injectable doses as required
Enter helium readings into the OMS system
Effectively communicate pertinent information to daytime contacts across multiple geographical regions
Complete handoff of follow-ups to co-workers on the next shift
Perform all steps of the Customer Experience Initiative consistently
Follow through on resolution of any customer needs
Complete other duties as assigned by management


Essential Qualifications and Skills

To succeed in this role, candidates must possess the following qualifications and skills:

Core Competencies

Customer Service Experience: Prior experience in customer service, call center environments, or patient scheduling is required. You should understand the dynamics of providing exceptional service and be comfortable handling diverse customer needs.
Communication Skills: Exceptional verbal and written communication abilities are essential. You must be able to articulate thoughts clearly and concisely, adapting your communication style to different audiences.
Organizational Abilities: Strong time management and organizational skills with the ability to prioritize tasks effectively. Attention to detail is critical in this role to ensure accuracy in all communications and system entries.
Multi-tasking Capability: The ability to manage multiple priorities simultaneously while maintaining quality and accuracy under pressure.
Technical Proficiency: Experience working with computers and proficiency in Microsoft Office applications, particularly Excel. Comfort with learning new software systems is essential.
