What You Will Do: Your Role as a Customer Care Ambassador

As a Customer Care Associate at arenaflex, you will be more than just a support representative—you will be the voice of our organization, the friendly expert who ensures every customer interaction leaves a lasting positive impression. Your responsibilities will span a comprehensive range of customer-facing and operational tasks designed to deliver excellence at every touchpoint.

Core Responsibilities


Deliver High-Quality Customer Support: Serve as the first point of contact for customers seeking assistance with their academic publishing needs. Resolve concerns, answer inquiries, and provide solutions that align with arenaflex's commitment to excellence. Every interaction is an opportunity to strengthen our reputation as a trusted publishing partner.
Process Incoming Orders: Handle daily processing of orders for all print and digital products through our enterprise resource planning (ERP) system. Ensure accuracy, timeliness, and attention to detail in every transaction to maintain seamless operations.
Collaborate Across Departments: Work closely with Customer Care teams and other global departments to escalate complex issues and develop comprehensive solutions for our valued customers. Your ability to coordinate effectively will be key to maintaining customer satisfaction.
Manage Digital Access for Libraries: Provide librarians with seamless digital access to licensed content through the arenaflex platform. Support institutional partners in navigating our digital resources efficiently.
Resolve Library Access Issues: Troubleshoot and resolve access challenges related to digital content on the arenaflex platform. Your technical acumen and problem-solving skills will ensure uninterrupted access for researchers and scholars worldwide.
Handle Special Transactions: Process specialized orders including Open Access publications, subsidy arrangements, and peer review transactions with precision and care.
Manage Ticket System: Monitor and take action on items within our team email ticket system (Hubspot). Ensure timely responses and follow-through on all customer inquiries.
Coordinate Logistics: Collaborate with global printing partners and shipping providers such as UPS to ensure order completion and timely delivery to customers around the world.
Financial Documentation: Prepare advanced invoices and customer quotes with accuracy and professionalism. Maintain meticulous records to support financial operations.
Data Management: Create, correct, and modify new and existing customer data within our ERP system. Ensure data integrity and up-to-date records for optimal customer service.
Handle Returns and Credits: Process credit notes and cancellations for returns in accordance with company policies, maintaining fairness and efficiency.
Drive Sales and Growth: Act as a knowledgeable sales partner to promote additional products and services to customers. Identify opportunities to enhance customer relationships and contribute to arenaflex's continued success.
Measure Satisfaction: Participate in follow-up communications and surveys to gather customer feedback and ensure ongoing satisfaction. Your insights will help us continuously improve our services.

Essential Qualifications


Bilingual Communication Excellence: Outstanding professional written and verbal communication skills in both German and English are non-negotiable. You must be comfortable communicating with diverse international customers across multiple channels.
Professional Experience: A minimum of three years of working experience in a similar customer care role is required. Prior experience in publishing, academic institutions, or e-commerce environments will be particularly valuable.
Self-Motivation: A motivated self-starter who can work independently, manage multiple priorities, and thrive in a remote work environment without constant supervision.

System Experience: Previous experience with ERP systems and/or order management platforms is required. Familiarity with Hubspot or similar CRM tools will be advantageous.
