Who you are: The Initiatives Coordinator is a key part of the Initiatives department who will provide administrative, fiscal, and executive support. In this new role, the Coordinator will work under the supervision of the Initiatives Operations Manager to help analyze and improve organizational processes and support calendar management for the VP of Initiatives. In this role, you will: Executive Coordination • Support the VP of Initiatives with scheduling and calendar management, including coordinating internal and external meetings and ensuring appropriate resources are available (call links, meeting rooms, background materials) • Make travel arrangements, when needed Support the Operations Manager with ongoing day-to-day administrative and logistical tasks, including • Planning and coordinating meetings and special events • Developing meeting materials such as drafting and tracking agendas • Taking notes and tracking action items in meetings, helping to manage workflow and priorities • Maintenance of reporting dashboards • Supporting the Initiatives department with organizational and information management Provide Fiscal Support • Work with Operations Manager and fiscal staff to process invoices, track expenses, and reconcile monthly expense reports • Support Operations Manager with department budgeting and expenditures Support the Impact Pipeline through • Working with Initiatives Operations Manager to manage and track workflow for Stage 3 and Stage 4 initiatives, streamline processes, and coordinate with Initiative Directors • Work with Pipeline Coordinators (MEL and Impact Strategy) to ensure ease of communication between all subgroups within the Impact Pipeline team Other duties as assigned What qualifications do you need? Required: • At least 1-2 years of experience working in office administration or related professional environment • Commitment to racial equity and its intersections and experience engaging in conversations about race, equity, and inclusion • Knowledge of or lived experience with criminal and immigration legal systems preferable • Exceptional attention to detail and task-management skills • Experience processing reimbursements and invoices and monitoring expenditures • Ability to manage multiple projects in a fast-paced environment • Ability to take initiative and manage follow-through • Excellent communication, writing, and interpersonal skills • Strong sense of teamwork Preferred Knowledge, Skills & Abilities • Associate or bachelor’s degree, or the equivalent work experience List of Required Software applications: • Proficient with Microsoft Office Suite – Word, Excel, PowerPoint, Outlook, SharePoint • Proficiency with Zoom Compensation and Benefits: The compensation range for this position is $52,500 – $54,600. Actual salaries will vary depending on factors including but not limited to experience and performance. The salary range listed is just one component of Vera Institute’s total compensation package for employees.
