Contract Administrator (Remote, CA)

Position Overview We are looking for a highly organized and detail-oriented Contract Administrator to support the execution of contracts across Calian’s Business Units. In this role, you will act as a key link between field personnel, Contract Managers, and internal teams, ensuring the accuracy, compliance, and timeliness of all contract-related processes. This is a dynamic role suited for someone who thrives in a fast-paced environment, can manage multiple priorities independently, and takes a proactive approach to problem-solving. You will play a critical role in supporting operational success while building strong relationships across teams and with external stakeholders. Responsibilities Provide administrative support to the Contract Manager, including reporting, data analysis, and support to the direct workforce when required Provide second-line administrative support to employees and independent contractors, responding to inquiries and escalating issues as appropriate Guide employees on Calian policies, procedures, and internal controls, including support with timesheets, invoices, and expense claims Review customer contract documentation against RFP and proposal materials to identify discrepancies and ensure compliance Identify and track key contract requirements, including financial parameters, working conditions, and reporting obligations Prepare and manage internal contract documentation, obtain required approvals, and ensure accuracy of all records Maintain system data and ensure timely submission and approval of timesheets, invoices, and expense claims in alignment with contract terms Track security clearances and monitor contract timelines, ensuring renewals or closures are completed appropriately Act as a liaison between field personnel and internal teams including Finance, Human Resources, and Payroll Support month-end activities, including accrual reporting to support accurate revenue recognition Maintain up-to-date documentation of processes, procedures, and contract files in appropriate systems and directories Contribute to process improvement initiatives by identifying opportunities to enhance efficiency and effectiveness Provide backup support to team members and assist during high-volume periods to ensure deadlines are met Support coordination activities related to psychological assessment contracts when applicable, ensuring timelines and deliverables are met Qualifications College diploma or university degree in Human Resources, Business Administration, or equivalent experience Minimum of 2 years’ experience in an administrative or customer service role Experience working with SAP or similar digital tools is an asset Intermediate proficiency in Microsoft Excel and Word Experience with government contracts or knowledge of related policies is an asset Full fluency in French is required; bilingualism is an asset Strong attention to detail and organizational skills Ability to manage multiple priorities effectively in a fast-paced environment Strong analytical and problem-solving skills Self-motivated with a proactive and accountable approach to work Ability to remain composed under pressure while maintaining professionalism Excellent written and verbal communication skills with the ability to collaborate across all levels Additional Requirements Ability to work independently with minimal supervision Strong adaptability to changing priorities, processes, and systems Positive and professional mindset in a dynamic work environment Working knowledge of applicable labour legislation to identify and escalate issues when needed Compensation $50,000 - $55,000 Position Type We have 1 available position.
