The Client Coordinator – IME Services is responsible for providing administrative and operational support to the Scheduling and Quality Assurance departments, ensuring timely, accurate, and compliant coordination of interactions between clients, providers, and internal teams. Responsibilities Serves as a support point of contact for clients, physicians, nurses, and authorized representatives regarding scheduling support, appointment confirmation, report tracking, status updates, and general inquiries Provides administrative and operational support to Scheduling and Quality Assurance teams, ensuring adherence to established workflows, timelines, and escalation protocols Communicates frequently via phone and email to verify and convey critical scheduling details, ensuring clear understanding of process requirements and preventing delays or errors Supports coordination of standard and escalated, time-sensitive requests by managing shifting priorities and deadlines with accuracy and sound judgment Tracks appointment and report status, providing timely updates to clients and internal stakeholders as needed Reads, analyzes, and interprets correspondence, medical records, and legal or regulatory documentation to support accurate communication and coordination Documents information accurately within internal systems and databases, ensuring records are complete, clear, and compliant Edits and prepares written communications for clarity, and professional presentation Responds to client and provider inquiries or concerns in a friendly and professional manner Follows escalation protocols appropriately to resolve issues or address urgent matters Maintains strict adherence to HIPAA, regulatory, and company standards related to confidentiality and compliance Works collaboratively within a team-oriented environment to support shared goals and service excellence Additional duties as assigned Skills High school diploma or equivalent required Excellent verbal and written communication skills, with the ability to communicate clearly with diverse audiences Strong attention to detail and ability to manage multiple priorities and deadlines simultaneously Sound judgment and decision-making skills, particularly in handling escalated or time-sensitive requests Ability to read, analyze, and interpret medical, legal, and regulatory documentation Strong organizational and time management skills Professional customer service orientation with the ability to manage sensitive interactions Ability to follow established processes and escalation protocols effectively Comfortable interacting with clients, medical professionals, and internal stakeholders at all levels Ability to work independently as well as within a collaborative team environment Strong working knowledge of computer systems and databases Ability to maintain confidentiality and comply with HIPAA and regulatory requirements College degree preferred or equivalent combination of education and experience Previous experience in a medical, clinical, managed care, or healthcare-related environment preferred Administrative or coordinator experience supporting scheduling, quality assurance, or client service functions preferred Benefits Medical (HDHP) w/Pharmacy Dental Vision Long Term Disability Health Savings Account Flexible Spending Account Options Life Insurance Accident Insurance Critical Illness Insurance Pre-paid Legal Insurance Parking and Transit FSA accounts 401K ROTH 401K Paid time off Company Overview CorVel is a nationally recognized claims management and managed care provider with over 30 years of experience in the industry.
