Business Systems & Workflow Automation Engineer (Notion Expert)

We’re looking for a Workflow Automation Engineer, on a contract basis, who can enable high-performance by turning multiple manual workflows into automation and scattered tools into one connected, intelligent operating system. You’ll architect how work flows through the business - from sales to delivery, people operations to finance - and make it seamless, automated and scalable.

Why this role?

You won’t be “maintaining tools.” You’ll be building the infrastructure that enables scale. Our client uses Notion as a core tool within their efficiency suite, so a heavy focus on Notion expertise and build, alongside its integration with our other platforms is key. Initially this is a ‘build-the-machine' role, moving to more of an ongoing augmentation and maintenance role.

This role touches every part of the business and has direct impact on how fast and effectively we grow.

What you’ll be doing…

Architect and build our OS (via Notion)

•Architect and continuously evolve our Notion workspace as a single source of truth, starting with a few key projects including building our bespoke people development profiles into Notion

• Design relational databases, dashboards, and smart templates

• Build automated project tracking, KPI dashboards, and reporting systems

• Create scalable frameworks we won’t outgrow in 12 months

Automate and Engineer Processes

• Design automated workflows inside Notion

• Connect tools using Zapier / Make / APIs

• Eliminate repetitive admin

• Ensure data flows cleanly between systems (CRM → Delivery → Finance → People)

• Map messy workflows and rebuild them properly

• Standardise how work gets done across teams

• Improve speed, visibility and accountability

• Build systems that scale with headcount and revenue

Realise Value in Data

• Design real-time dashboards

• Automate reporting (no more manual updates)

• Create structured data architecture

• Enable leadership to make decisions from clean, reliable data

• Enable the Team

• Train people on new systems

• Document clean SOPs

• Drive adoption

• Be the internal “how do we build this properly?” expert

Core skills and Mindset

• Advanced Notion builder (databases, relations, rollups, formulas, permissions)

• Strong automation capability (Zapier, Make, APIs, webhooks)

• Experience integrating multiple tools

• Deep systems thinking ability

• Strong data structuring skills

• Builder mentality

• Obsessed with efficiency

• Sees broken processes instantly

• Hates duplication and manual work

• Commercially aware - builds what matters, not just what’s cool

Advantage experience to have includes:

• Built a Notion workspace from scratch for a scaling company

• Designed an internal operating system

• Worked in a startup or high-growth SME

• Have light technical knowledge (basic API understanding)

• Built KPI frameworks or reporting infrastructure
