Business Operations Executive (Finance & Admin) – Sustainability Consulting Firm

We are a Singapore-based sustainability and energy transition consulting firm serving corporate and institutional clients across the Asia-Pacific region. We are a growing firm with a lean, high-performing team.

As we scale, we are strengthening our finance, HR, and operational workflows to ensure they are accurate, compliant, and structured.

We are seeking a detail-oriented Business Operations Executive to manage day-to-day finance and administrative workflows.

This is not a general virtual assistant role. We are looking for someone experienced in structured business operations, particularly in finance-related workflows.

Technical accounting matters (GST interpretation, corporate tax, accounting policy decisions) are handled by external accounting partners. This role focuses on disciplined execution and process management.

The engagement will begin as a 3-month contract with strong potential for long-term collaboration.

Key Responsibilities

Finance & Revenue Operations

-Prepare and issue client invoices based on agreed project terms

-Track accounts receivable and flag overdue payments

-Prepare payroll inputs and verify supporting data

-Process expense submissions and ensure policy compliance

-Prepare monthly reconciliation packs for external accountants

HR & Administrative Operations

-Support onboarding and offboarding workflows

-Maintain HR records and documentation

-Coordinate insurance renewals and policy updates

Maintain compliance calendar and track statutory deadlines

-Project & Business Support

-Review timesheets and flag inconsistencies

-Maintain credentials and CV repositories

-Monitor tender boards and flag relevant opportunities

-Support vendor onboarding documentation

Requirements

-3–6+ years experience in SME operations, finance administration, or professional services support

-Strong Excel skills (comfortable with reconciliations and structured data)

-High attention to detail and strong process discipline

-Clear written English communication

-Comfortable handling confidential financial and HR information

-Ability to escalate issues appropriately rather than make assumptions

-Interested in a stable, long-term working relationship

Important

This role requires reliability, discretion, and structured thinking. You will work closely with the founder and external accounting partners. Clear communication and ownership of workflows are essential.

We are not looking for task-only virtual assistants.
