Position Summary:

We are seeking an exceptional, bilingual Legal Receptionist who is fluent in both Spanish and English. The ideal candidate is not only personable and professional but also highly proactive, solutions-oriented, and capable of taking full ownership of their responsibilities. This individual must be adept at managing client communications, prioritizing tasks, and ensuring the front-line operations of the firm run smoothly and efficiently.

Key Responsibilities:

- Manage and maintain attorneys' calendars, including scheduling client calls, consultations, and court-related appointments

- Coordinate and confirm meetings between clients, attorneys, and third parties

- Respond promptly to client inquiries via email and phone, providing updates and scheduling assistance

- Maintain accurate records of scheduled appointments and changes

- Send reminders, meeting links, and follow-up emails to clients as needed

- Ensure timely communication and alignment between legal staff and clients

- Maintain a high level of professionalism and confidentiality at all times

- Update case management systems and internal calendars as required

- Escalate urgent or sensitive matters to the appropriate team member

Ideal Candidate Profile:

- Fluent in Spanish and English (spoken and written)

- A minimum of 1–2 years’ experience in a receptionist, client services, or administrative role. Ideally within a law firm or professional services environment

- Proactive, resourceful, and solutions-driven, you don’t wait to be told what to do

- Highly responsible and dependable with a track record of following through

- Strong organizational and multitasking skills in a fast-paced remote setting

- Outstanding verbal and written communication abilities

- Comfortable using modern tools and platforms (Google Workspace, Zoom, CRM software)

- Tech-savvy and adaptable to new systems and processes

- Maintains professionalism under pressure and handles sensitive situations with tact and discretion

Preferred Qualifications:

- Familiarity with legal terminology and processes, especially related to family or estate law

- Experience with legal practice management software (e.g., Clio, MyCase, PracticePanther)

- Previous remote work experience with U.S.-based clients or firms

- Prior experience in a legal, administrative, or virtual receptionist role

- Strong experience with calendar management and scheduling tools (e.g., Google Calendar, Calendly, Microsoft Outlook)

- Exceptional written and verbal communication skills

- Highly organized and capable of handling multiple scheduling requests simultaneously

- Comfortable working independently and proactively in a remote setting

- Familiarity with legal terminology and client handling is an asset

- Proficient in using email, video conferencing platforms (Zoom, Google Meet), and cloud-based collaboration tools

- High level of discretion when dealing with confidential information

Work Hours & Time Zone Requirement:

This is a full-time remote position requiring availability from 9:00 AM to 6:00 PM EST, Monday to Friday. Candidates must be located in a Spanish-speaking country with a time zone that aligns or closely aligns with Eastern Standard Time.
