Associate, Event Operations

This role is responsible for planning and executing in-office and offsite events, managing event logistics, and collaborating with internal and external partners to enhance the office culture in Chicago.ResponsibilitiesOrder catering for small-medium events ensuring adequate food/beverages are present and in-line with company policies and team protocolsBuild and maintain an approved list of local area vendorsManage small-medium event communications, including invitations, reminders, and any event requirements including sending and analyzing post-event feedback surveys, etcPlan, execute, and support multiple events, in collaboration with supervisor, throughout the year, often times overlapping, applying event logistics knowledge, policies and practices effectively to a wide variety of business groups with differing needsLiaise regularly with key stakeholders; develop strong and productive working relationships; become known as a “go to” person for all areas of event planning for small in-office eventsEvent preparation for small in-office eventsLead vendor selection and contract negotiationLead calls with key stakeholders to help assess event objectives and goalsRecommend “paths to success” based on event experience and best demonstrated practicesOn-site event management for small in-office eventsMake decisions within purview, display sound judgement and know when to escalate issuesDelegate responsibilities and tasks based on event needs with EA’s, Chicago Office Services, and event volunteersEvent wrap-up for small in-office eventsDebrief with Senior Manager, Business Operations & Events, key stakeholders and coordinate/analyze feedback identifying efficiency and performance gapsConsolidate files for future referenceProvide diversified administrative support with the Chicago events and office culture initiatives listed below (non-exhaustive)Small through large scale events including office lunches and overnight company offsitesOffice Strategy PillarMajor Recruiting EventsEvent CalendarEvent NewsletterOffice Connectivity Budget ManagementEvents team SOP’s/BDP’sSkillsBA/BS degreeAbility to be present in the Chicago office 3 days a week, plus onsite/in-office for events, with light nights and weekends as needed for eventsStrong interpersonal, written and verbal communication, organizational, negotiation, and project management skills, with high attention to detail and the ability to manage multiple priorities, meet deadlines, and consistently follow through on deliverables in a fast-paced environmentAbility to work productively both independently and as part of a teamAbility to interact with a variety of external and internal stakeholders, including vendors, cross functional teams, and Bain and client senior leadershipActive and positive influence on culture and morale across department and Bain ChicagoContinuous improvement mindset and willingness to learn and evolveProficient in Microsoft Office applications including Excel, PowerPoint, and WordAbility to move large objects (i.e., conference room tables) with in-office set-upMinimum 1 year of experience in administrative support, event planning, or hospitality operations roles preferredMarketing and graphic design experience is a plusChicago venue / restaurant knowledge is a plusBenefitsAnnual discretionary performance bonusThis role may also be eligible for other elements of discretionary compensation4.5% 401(k) company contribution, which increases after 3 years of service and is 100% vested upon start dateBain pays 100% individual employee premiums for medical, dental and vision programs, offering one of the most comprehensive medical plans for employees without impacting your paycheckGenerous paid time off, including parental leave, sick leave and paid holidaysFully vested 401(k) company contributionPaid Life and Long-Term Disability insuranceAnnual fitness reimbursementsCompany OverviewBain & Company is a global management consulting firm, a top advisor to the world's leading private, public and non-profit organizations.
