Assistant Entry-Level - Remote | WFH
We are looking for a highly organized and detail-oriented Online Virtual Assistant to support our construction team. In this role, you will play a crucial part in ensuring the smooth operation of our virtual office. Your responsibilities will include managing emails, organizing calendars, handling data entry, and providing top-notch customer service.
Key Responsibilities...
Manage and respond to email communications, and forward messages to the appropriate teams.
Organize and maintain calendars by scheduling appointments and meetings.
Enter and update data in construction project management software (e.g., Procore, Bluebeam).
Deliver exceptional customer service to clients, subcontractors, and construction teams.
Assist with document management, including uploading and sharing files.
Coordinate travel arrangements, meetings, and appointments.
Maintain accurate records and files in cloud-based systems.
Support the construction team with special projects, RFIs, and other documentation as needed.
Requirements
1-2 years of experience in an administrative role, preferably within the construction industry.
High school diploma or equivalent required; associate's or bachelor's degree preferred.
Excellent communication, organizational, and time management skills.
Proficiency in Microsoft Office Suite, cloud-based systems, and construction software (e.g., Procore, Bluebeam).
Ability to work independently in a remote setting.
Reliable internet connection and a dedicated workspace.
Preferred Qualifications
Experience with construction project management software and systems.
Knowledge of construction industry regulations and compliance.
Certification in administrative assistance or a related field.
