As a Staff Assistant, you will play a vital role in ensuring the smooth operation of the Airport Stations Group within the Customer Experience Division. As a Staff Assistant, you will be responsible for performing a wide range of administrative tasks, including: Coordinating meeting schedules, composing, filing, and ensuring phone coverage Welcoming and coordinating visitors, managing mail, and ordering office supplies Assisting in station event planning, coordination, and execution Processing payroll, handling timekeeping functions, and maintaining employee records Providing backup for various payroll functions and managing accounts for OSHA, safety, and other regulatory requirements Assisting with budget preparation and reconciliation, including monthly closeout of landing charges Supporting auditing activities as required and tracking and confirming incentive reserves earned Liaising with CRE/Offices and vendors to follow local projects, as needed Leading/coordinating work with other care staff, as needed Performing various other tasks as required Key Responsibilities The ideal candidate will be able to: Provide administrative support for management presentations and special events as required Control, review, and monitor local invoices through InvoiceWorks and distribute as required Troubleshoot and escalate office technology issues, including phone and copier machines Track and ensure employees complete onboarding obligations, including proper system access and assignment of storage spaces, letter drops, regalia, IDs, fingerprinting, training, etc. Assist in station event planning, coordination, and execution Handle payroll processing in Workbrain for management and care staff Process garnishment letters and coordinate local communications and response Manage employee separations, including permitting and tasks, as required Assist with timekeeping functions, data entry, data verification, reconciliations, and reporting Maintain employee records, as needed Maintain Station meeting schedules, including monthly emergency response Access and manage various periodic reports, including performance, audit, cost, employee engagement, and recognition Essential Qualifications To be successful in this role, you will need: A Bachelor's degree from an accredited institution Previous office/administrative experience Knowledge of Microsoft Office, including Word, Excel, PowerPoint, Outlook, etc. Familiarity with policies, procedures, and corporate structure Ability to prioritize work, be detail-oriented, and meet deadlines Ability to work in a fast-paced environment and handle multiple tasks simultaneously Strong self-motivation and organizational skills Ability to understand concepts and functionality of specific software and programs Preferred Qualifications While not required, the following qualifications are highly desirable: Experience working in the aviation industry or a related field Knowledge of airline operations, policies, and procedures Previous experience with payroll processing, timekeeping, and employee records management What We Offer At American Airlines, we believe in taking care of our employees.
