AI Expert Executive Assistant for Ecommerce CEO
We’re looking for a Executive Assistant who can combine traditional admin skills with AI, automation, and marketing technology expertise to help manage and grow our operations.
This role is ideal for someone who is able to handle day-to-day business tasks while also building and running automation systems that keep everything moving. We are looking at 2 hours per day to start (divided up during the day)
Daily Operations:
- Manage task lists, project boards, and recurring processes across multiple brands.
- Organize, prioritize, and prompt completion of tasks (both recurring and one-off).
- Coordinate meetings, schedules, and deadlines.
- AI Research & Automation implementation where needed
- Build and maintain automations using Zapier, Make, or similar tools as needed
- Drafting Klaviyo newsletter content
- Generating marketing copy, SOPs, and campaign ideas
- Summarizing and prioritizing daily/weekly tasks
- Maintain automated reporting for sales, ads, and operations.
Marketing Support:
- Plan and schedule email campaigns in Klaviyo for all brands.
- Assist with social media content coordination and seasonal promotion planning.
- Present ad campaign performance and provide recommendations.
Project Management:
- Help manage strategic initiatives like website launches and business sale preparations.
- Break down large projects into actionable steps with timelines.
Communication:
- SMS texting will be best for quick contacts
- We will expect a morning brief every morning
- Draft and send follow-up emails, proposals, and client communications.
Qualifications:
Proven experience as an Executive Assistant, Operations Experience with marketing & e-commerce businesses.
Skills:
Excellent written and verbal English.
Highly organized, detail-oriented, and proactive.
