Position Overview

As an Administrative Operations Coordinator at arenaflex, you will serve as a vital link between our CIC initiative group and various internal stakeholders. This position requires a unique blend of administrative expertise, proactive problem-solving, and strong interpersonal skills. You'll be responsible for executing and supporting area initiatives, managing procurement processes, and providing comprehensive organizational support to ensure operational excellence.

The ideal candidate will be self-motivated, detail-oriented, and capable of managing multiple priorities in a constantly evolving environment. You'll have the opportunity to work remotely while collaborating with teams across multiple locations, gaining valuable experience in large-scale organizational operations.

Key Responsibilities

Your day-to-day responsibilities will be diverse and engaging, offering you the chance to develop a wide range of skills while making meaningful contributions to our team. Here's what you can expect:


Executive Support: Execute and uphold area initiatives through organizational support for the CIC initiative team, ensuring responsive, accurate, and efficient assistance for everyday administrative requirements.

Financial Administration: Utilize our proprietary agreement tracking system to follow organization policies for all movement, expenses, and PCARD reconciliation, maintaining meticulous financial records.

Procurement Management: Process acquisition transactions, purchase order creation, receipt submission, and payments using our MYBUY S/4Hana platform. Additionally, set up new providers and merchants using the MDG system.

Invoicing & SAP: Process purchase order invoicing and submission within the SAP system, ensuring accuracy and timeliness in all financial documentation.

Reporting & Analysis: Create, run, and distribute reports on an as-needed basis for the CIC group, providing valuable insights to support decision-making processes.

Documentation: Create and maintain organizational charts, delivery records, and contact lists to ensure seamless information flow across the team.

Equipment Management: Research, maintain, and inventory all department equipment for both in-office and work-from-home employees, ensuring optimal resource allocation.

Event Coordination: Help support and coordinate operations for quarterly CIC town halls, CIC leadership gatherings both on-site and offsite, and various department events.

Onboarding & General Support: Assist with new team member onboarding, ordering supplies, managing mailing and transportation logistics, and greeting visitors professionally.

Additional Duties: Other work responsibilities as assigned, providing flexibility and the opportunity to contribute to various projects across the organization.

Essential Qualifications

Flexibility & Availability: Must have the availability and flexibility to stay beyond standard hours when necessary to meet critical deadlines or support urgent initiatives.
