The Administrative Associate will provide crucial administrative support to Wealth Advisors and Wealth Planning Associates, facilitating client meetings and managing various administrative tasks to enhance business growth and client experience.ResponsibilitiesAssist Wealth Advisors to effectively manage practicePrepare and compile information and reportsSupport cash management processesOrganize Wealth Advisors by managing tasks and remindersSupport Wealth Advisors with technology updates as neededProvide administrative support to teams of Wealth Advisors and Wealth Planning AssociatesSupport client meetings (schedule, coordinate, pre-meeting preparation, post-meeting follow-up and action items)Manage invitations to client eventsEnter client information into SalesforceProcess new business requests for client onboardingManage day-to-day client requests and execute, as applicableCommunicate, both verbally and in writing, with clients when requiredCoordinate introductory meetings with prospective clientsCreate βLeadβ records for prospective clients in SalesforceTrack pipeline of prospective clients and ensure follow-up is providedFollow up with Marketing Team as needed on incoming prospective leadsCoordinate and liaise with key stakeholders on behalf of Wealth Advisors for various corporate initiatives and projects, including and not exclusive to task management, reminders, meeting action items and deliverablesOther relevant and related responsibilities, as assigned and as the needs of the organization changeSkillsBusiness degree, diploma, certificate, or equivalent experienceMinimum 1 year of related work experience in an administrative capacityExperience working in a high performing client service-oriented work environmentDemonstrated diplomacy, tact, and professionalism in a high-volume environmentHighly proficient in MS Word, Excel, PowerPoint, Outlook, and technology in generalSuperior attention to detailHighly organized and skilled at focusing on a high volume of tasks with competing priorities and deadlinesLegally eligible to work in Canada for any employerCanadian Securities Course (CSC) preferredPrior experience working in the financial services or wealth management industry preferredBenefitsCompetitive performance bonusRRSP contributionParticipation in our profit-sharing programShare ownership programCompany OverviewFounded in 1994, Nicola Wealth Management Ltd (Nicola Wealth) has over 30 years of investment management experience and has navigated through numerous market cycles, economic downturns, and geopolitical events.
