Job title: Accounts Payable Specialist Company: Advantix Development Corporation Job description: PRIMARY OBJECTIVES OF POSITION General Summary Under the direction of the Senior Accountant, the Accounts Payable Specialist performs crucial job duties that ensure vendors get paid for services and products rendered. The Accounts Payable Specialist provides both administrative and financial support by processing, verifying and reconciling Invoices. Essential Job Functions Primary areas of responsibility and tasks that may typically be expected include but are not limited to: • Managing accounts payable using accounting software and other programs. • Handling accounts payable for separate entities and vendors. • Analyzing workflow processes. • Establishing and maintaining relationships with new and existing vendors. • Ensuring bills are paid in a timely and accurate manner while adhering to departmental procedures. • Processing due invoices for payments. • Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling vendor accounts. • Sort payables into batches and complete data entry daily. • Provide printed checks to appropriate directors for signatures. • Mail authorized check or distribute check with necessary attachments. • File copies of authorized checks with appropriate invoices. • Additional check processing requirements as needed. • Keep filing up to date for review purposes. • Performs other related duties as assigned and/or required. Annual 1099 Reporting · Reconcile reporting file with historical records. · Prepare electronic 1099 reporting file for submission to the Internal Revenue Service (IRS). · Submit 1099 and 1096 forms in a timely manner. · Maintaining and updating W-9 and insurance documentation. Education, Experience, and/or Certification • Associate degree in Accounting or Business Administration and one year experience or High School Diploma with three plus years applicable work experience. • One-year Yardi experience preferred. • Construction experience preferred. • CAPP certification preferred. • Possession of valid Indiana Driver’s License. Computer and Administrative Skills To perform this job successfully, an individual should have average abilities using computer software such as MS Word, Excel, PowerPoint and Outlook and should be capable of using internet resources for research and developing reports. Proficient in operating and troubleshooting personal and laptop computers. Ability to learn other computer software programs as required by assigned tasks.
